Reservation Policies
There is a minimum of 4 participants and a maximum of 20 participants per party (14 for the Spa Parties). For parties over 14 an additional Party Assistant be will be necessary and a $50 charge will be added to your bill. A 50% deposit is required to make a party reservation. Payment is due in full on the day of the event via personal check, credit card or cash.
Changes to a party package (as in number of guests) must be made 48 hours in advance. Due to the nature of our business, if you must cancel your party for any reason your deposit will be retained as a cancellation fee. We will work with you to schedule an alternative date at your convenience.
Service Charge
There will be a 15% service charge added to your final invoice when having a event. The service charge is an industry standard as the parties are labor intensive and require significant work before and after the event.
Party Set-Up at The Event Loft
The Event Loft is located at 1221 South Hartmann Drive, Lebanon, TN 37087
Your Party Director will arrive one hour before the start of an event in order to set-up. All you have to do is arrive at The Event Loft a few minutes before your scheduled party to select your costume and great your guests!
Party Set-Up Off-Site (an additional $50 Fee is applied for Off-Site Locations)
Your Party Director will arrive one hour before the start of an event in order to set-up. Please provide a safe and clean area for dress-up, activities and eating. Please have these areas clear of any valuables or unnecessary items that may come in the way of your guests (such as vases or toys). A separate table or floor area will be needed for crafts/games as well as electrical outlets for music/equipment in the party room. Your dining room table should be cleared as well so the table can be set efficiently. We ask that you remain on the premise during the party.
Parents of Guests
Parents of guests are always welcome to stay and enjoy the fun but we recommend a separate area for your guests, so noise can be kept at a minimum. Please note that the party packages cover only the planned guests. Siblings of guests are welcome to stay with proper parental supervision. The party host is not able to watch small children during the party and many of our accessories consist of small parts that are not safe for younger siblings.
Attire
Guests are encouraged to wear comfortable clothing for the party as they will be changing into costumes. Girls should wear a bathing suit or leotard under their clothing for the Princess Parties. Shorts/comfortable pants and t-shirt/tank top is recommended for the Spa Parties.
Travel
We will travel up to 20 miles one way for events. Travel over 20 miles will have an additional $30 dollar trip charge. Mileage is determined via MapQuest from Lebanon, TN. Travel above 50 miles must be negotiated prior to booking your event.
Liability
A Party Scene assumes no responsibility or liability for accidents or damages caused during your party. Your party host will work to ensure that your home and guests are treated with utmost care. A Party Scene is not responsible for allergic reactions to wearing any costumes or consuming any food or beverages before, during or after the party. It is the responsibility of the guest and/or guests' parent or guardian to inform the client of any dietary restrictions.
